CCP4 Annual developer’s meeting

University of York 2nd-3rd March 2004

Aims of Meeting

The overall objective of the meeting should be seen in the context of the management meeting plan for CCP4, see Annex 1. It should provide a closer interaction between the Executive and the staff employed on CCP4 contracts, and provide a forum for a general discussion between all CCP4 staff and associated developers. The intention is to extract a set of goals and action points and to address any conflicts and weaknesses:

·Within each of the topics

·Between groups of topics, e.g. Molecular graphics, coordinate handling and refinement

·At a global level, LIMS, Automation and the core groups activities, especially libraries

·Speakers must summarise what all their team is doing and not just discuss their own work. This may be derived from the Collaborators section of the Pro Formas submitted to WG1 (which will be sent with this agenda). In short, make sure talks are outward-looking rather than personal research talks.

Overall the meeting aims to inform all participants of what the others are doing, leading to improved contacts between groups, improved team working  and avoidance of duplication of effort.

The meeting will cover several areas (see Agenda):

·Review of progress, and plans for next 12 months based on the January 2004 Pro Formas submitted to WG1. To restate, the presentations on Tuesday will be divided into the areas of application and the team leader or representative must provide an overview of the whole teams activities, not just their own. At least 10 minutes must be let for discussion. Given the time restraints, the talks can only be overviews, without great detail.

·At the end of Tuesday, Johan Turkenburg and Tadeusz Skarzynski will lead a discussion on shortcomings of the present CCP4 in terms of software modules and other needs.

·On Wednesday we will concentrate on the more general aspects of the suite and how modules link together, namely the core libraries, Automation and LIMS.

Action points: Clear Action Points and associated objectives will be identified and recorded as a central output of the meeting. These will address detailed aims within each area on Tuesday, as well as more global and ambitious ones on Wednesday. This annual meeting of all CCP4 developers provides the ideal forum for defining a vision of the future for the suite.

Those participating are listed in Annex II. Annex III contains the instructions already circulated by Maeri for hotel booking. The location of the meeting itself (i.e. rooms) will follow soon.

Annex III: Hotels

The CCP4 developers meeting will take place on March 2nd and 3rd at the University of York.

As different people will have different accommodation needs, we are asking that everyone book their own rooms (see information below on two suggested venues), pay for them with their own credit cards (keep all receipts) and then submit a claim form for reimbursement to CCP4 (Maeri Howard-Eales will have them available at the meeting).

The 2 hotels we suggest are:

Black Bull Hotel,

Hull Road, York,

YO10 3LF.

Tel 01904 411856 Fax 01904 430667

Travelodge,

Piccadilly,

York,

http://www.york-hotels-deals.net/travelodge_york_central.html

tel 01904 638587

The Black Bull is near the University and has parking.  The Travelodge is in the city centre and has no parking on site but public parking nearby. Prices are ca. £50 per night Black Bull, ca. £65 per night Travelodge.
